Key Responsibilities

  • Manage a dynamic and ever-changing calendar, including appointments, meetings, and personal commitments.

  • Coordinate Zoom meetings, conference calls, and virtual appointments across multiple time zones.

  • Manage and prioritize email correspondence, ensuring timely responses and follow-up.

  • Arrange domestic and international travel, including flights, accommodations, transportation, and detailed itineraries.

  • Track action items and follow up with clients, vendors, and key contacts.

  • Organize digital files, documents, and confidential records.

  • Handle personal errands and special projects as required.

  • Liaise with business partners, service providers, and external stakeholders professionally.

  • Anticipate needs, identify potential scheduling conflicts, and proactively resolve issues.

  • Maintain the highest level of discretion while handling sensitive and confidential information.

  • Provide general administrative support to ensure the executive's personal and professional life operates efficiently.

Qualifications

  • High school diploma required; an Associate's or Bachelor's degree is an asset.

  • Minimum of 3 years' experience as a Personal Assistant, Executive Assistant, or in a comparable support role.

  • Exceptional organizational and time management skills.

  • Strong written and verbal communication abilities.

  • Proficiency in Microsoft Office 365, Google Workspace, Zoom, and other productivity tools.

  • Comfortable coordinating international schedules across multiple time zones.

  • Ability to work independently, exercise sound judgment, and prioritize competing demands.

  • Professional, polished, dependable, and highly adaptable.

  • Absolute discretion and commitment to confidentiality are essential.

Preferred Qualifications

  • Experience supporting C-suite executives, entrepreneurs, or professionals in the entertainment, media, or creative industries.

  • Familiarity with international travel coordination and logistics.

  • Strong problem-solving skills with the ability to anticipate needs before they arise.
